Job Summary:

The Administrative Assistant for the Legal Support Department performs day-to-day administrative, clerical, and operational tasks for the department director and managers; responds to daily communications; prepares departmental correspondence; and, provides support in accordance with  National Board for Certified Counselors, Inc. (NBCC) and Center for Credentialing and Education, Inc. (CCE) policies, procedures, and processes.

Duties

Essential Duties and Responsibilities:

  • Provides day-to-day administrative support to departmental staff through a variety of tasks related to organization and communications.
  • Supports Legal Support Department activities and functions, including the processing and review of examination appeals and accommodation requests, consistent with established departmental policies, procedures, and processes.
  • Monitors departmental electronic mailboxes and organizational computer systems, and responds to stakeholder and contracted vendor communications, as directed by the director and managers.
  • Prepares communications, including letters and emails, on behalf of other departmental staff.
  • Ensures that all communications, incoming and outgoing, are appropriately documented and that files contain copies of correspondence, documents, and other materials as appropriate.
  • Manages and coordinates internal departmental meetings.
  • Manages electronic and hard-copy files, ensuring that files are current and maintained consistent with established departmental processes, including electronic database and spreadsheet management.
  • Communicates with other departments, organizational stakeholders, and program partners, ensuring that such communications and timely and clear.
  • Upholds the confidentiality of sensitive legal information and maintains compliance with NBCC policies, procedures, and rules.
  • Contributes to team effort by accomplishing tasks and responsibilities in a timely manner.
  • Performs other duties as assigned by the Legal Support Department.

Qualifications

Required Education/Experience:

  • Associate's degree (minimum required)
  • Proficient with Microsoft Word, Outlook, and Excel
  • Excellent verbal and written communication skills required.
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to multi-task among various work assignments and functions

Preferred Education/Experience:

  • Bachelor's degree (preferred)
  • At least two (2) years of professional experience (preferred)

Equipment/Programs Used:

  • Microsoft Word, Outlook, and Excel
  • Will be required to become proficient in ThoughtSpan and other NBCC computer systems

Work Location:

  • Primarily hybrid with a minimum of 1 day per week in the office.
