Description

Position Summary

The GHPFA Operations Specialist will support the GHPFA’s goal of creating a just and sustainable food system through supporting daily operations, including community engagement, intentional relationship building, capacity building, grant writing, social media, event coordination, and fund development.

Duties

Major Responsibilities

Provide daily support to the operations of the GHPFA including the Executive Director, Chief Program Impact Officer, community and Board of Directors as necessary. Major responsibilities include, but are not limited to:

  1. Answering phone, respond to general inquiries, and direct callers to other staff as appropriate
  2. Filing
  3. Maintain the GHPFA calendar including events, community meetings, Board meetings, and advocacy activities
  4. Schedule meetings for the ED and CPIO as necessary
  5. Supports maintenance of social media accounts
  6. Create and maintain Word Documents and Excel Spreadsheets
  7. Maintain and update the Community Resource Guides for publication
  8. Maintain and update the Food Finder app and the GHPFA website
  9. Other duties may be required depending on the needs of the organization

Specific Duties

Community Engagement

  • Participate in GHPFA meetings as requested
  • Take GHPFA Board minutes
  • Schedule and participate in agency fairs or other forms of community engagement as requested
  • Respond to and coordinate all volunteer requests
  • Schedule and post social media content across multiple platforms, as necessary, and ensures that social media content is current

Community Outreach/Marketing

  • Assist in drafting, editing, and disseminating written communications
  • Maintain GHPFA marketing materials
  • Distribute press releases and schedule media coverage as directed by the ED or CPIO

Event Coordination

  • Support the coordination and planning of special events like the Food Security Summit, Youth Food Summit, and other events by contacting vendors for best prices, schedule set-up, work with agencies, and assist with the handling of all the logistics of a special event. The Operation Specialist will be the primary point of contact for all events and will be responsible for the planning of events with the direction of the ED and CPIO.
  • Work with the Food Security Fund team to schedule meetings, prepare grant materials, coordinate press releases, follow-up with grant recipients, coordinate informational meetings, copy and distribute grant applications to the Food Security Fund team, and coordinate the Food Security Fund Grant Awarding Ceremony
  • Assist with additional events

Leadership and Data Support

  • Organize, schedule and prepare for meetings with GHPFA Staff and partners
  • Provide other administrative and office management support as needed
  • Responsible for preparing the Board meeting agenda and keeping of Board minutes
  • Schedule Board meetings in the Partner Neighborhoods
  • Process all forms for outside bookkeeping firm and process check requests
  • Support agency staff in the collection and maintenance of data

Qualifications

Qualifications

  • Minimum 3-5 years related office operations experience, event planning, and community interaction
  • Demonstrated collaborative skills and ability to work well within a team
  • Ability to engage and work with all community members
  • Must be able to effectively communicate the work of the GHPFA
  • Ability to manage a number of tasks and projects at one time
  • Excellent interpersonal skills in person by phone, and social media management
  • Proficient using the latest versions of Microsoft Word, Excel, Power Point, Access, Publisher, and Canva or similar software
  • Demonstrated ability to work independently and solve problems
  • Must have own transportation
  • Must be able to work some evenings and weekends as needed
  • Must be able to work in a dynamic office setting
  • Ability to adhere to GHPFA professional standards and core values

Preferred

  • Experience with Canva
  • Management of website through WIX
  • Experience working in the nonprofit sector
  • Bachelor’s degree preferred but relevant experience will be considered
  • Knowledge of the Greater High Point community
