Description

Job Summary:

This position answers client questions about current programs directing them to the best possible solution. This involves being an advocate for low-income homeowners and getting them started down the path towards a home repair or purchasing a new home. The position also oversees subcontractor records, file compliance, office organization, and our home repair client database.

Duties

Responsibilities:

 Home Repair Program

  • Creates client file when documents are received. Reviews documents for any missing documents and for eligibility of our Home Repair Program. Communicate to homeowner if additional documents are needed, their eligibility status for our program, and the timing of their next steps.
  • Assists Client Services Coordinator with escalated emergency repairs by requesting three quotes for emergency repairs over $1,000. Keeps track of quotes requested and when all quotes are in award work to appropriate contractor. Make calls if needed to help expedite these repairs.
  • Ensures compliance with program and funding requirements by auditing home repair files for URP cases and City of Greensboro ARP cases after repairs are completed.
  • File construction receipts and homeowner files on a weekly basis.

Subcontractor Records and Procurement

  • Help to educate potential subcontractors on the work of CHS as well as documents needed as a CHS subcontractor.
  • Maintains files and records to include updated subcontractor information forms, certificates of insurance, release of liens and quarterly tally of usage by trade.
  • Assist with the biannual procurement bid process for the selection of subcontractor trades working with construction management.

 Home Buyer Program

  • Answers initial client inquiry about buying a new construction CHS home sharing eligibility criteria and homes available before directing them to listing Realtor.
  • Obtains home buyer information and documentation to confirm eligibility to buy home before CHS signs offer to purchase.
  • Gathers NCHFA CPLP home buyer information and documentation to submit for approval of down payment assistance with purchase of home.

Office Organization

  • Maintain office supply inventories, print program brochures, and receive homeowner payments, and maintain functionality of CHS databases.
  • Provide administrative support for Executive Director and Associate Executive Director as needed.
  • Work together as a team with Client Services Coordinator and Administrative Assistant with cross-training to support one another with clients in the Home Repair and Aging Gracefully Programs.

Qualifications

Qualifications

 Education: 

  • A high school diploma or GED required
  • Associate or bachelor’s degree preferred

 Experience:

  • Working in affordable housing field or with organizations serving low-income and diverse communities in Guilford County
  • Providing services to older adults or disabled individuals
  • Working with databases, online systems and maintaining files with confidential information necessary for funding compliance

 Skills: 

  • Strong customer service skills, especially as a good listener and a strong desire to help others
  • Excellent organizational skills to handle multiple priorities across all programs offered by organization
  • Proficient in Microsoft Office to include Word, Excel, and PowerPoint

 Physical requirements (if applicable): 

  • Must have a valid driver’s license and ability to drive your own vehicle.
