Position Overview
The Senior Bookkeeper is a foundational member of the Museum’s finance operations, ensuring that all day-to-day accounting functions are accurate, timely, and aligned with nonprofit best practices. This role supports Museum’s finance functions by maintaining the Museum’s financial systems, executing core accounting functions, and ensuring compliance with legal, payroll, and reporting requirements. The ideal candidate is detail-oriented, organized, reliable, and enthusiastic about supporting a mission-driven, high-energy environment.

Position Schedule
Status: Part Time, Hourly Hiring Range: $25-$35 an hour Schedule: approximately 25-30 hours/week; occasional evenings/weekends.
Duties
Core Responsibilities
Daily & Monthly Accounting Operations
- Maintain and process accounts payable, accounts receivable, cash receipts, payroll inputs, and general ledger entries.
- Ensure timely and accurate invoicing for all revenue streams.
- Complete bank reconciliations for all cash accounts each month.
- Prepare monthly journal entries, reconcile balance-sheet accounts, and support month-end close.
Payroll & Benefits Administration
- Coordinate with the Museum’s payroll provider to run bi-weekly payroll.
- Prepare and review quarterly and year-end payroll reports (W-2s, 1099s).
- Assist with employee benefit enrollments (health, retirement, other).
Compliance & Audit Support
- Ensure compliance with federal, state, and local financial regulations and deadlines.
- Prepare and submit required government reports on a timely basis.
- Maintain organized documentation including insurance records, contracts, leases, and fixed-asset schedules.
- Support preparation for the annual audit by compiling schedules, documentation, and reconciliations.
Systems & Data Management
- Maintain and perform routine upkeep of QuickBooks Online and related accounting systems.
- Ensure orderly, accurate, and secure recordkeeping across financial files and supporting documents.
Grant & Program Tracking
- Support grant income and expense tracking, ensuring accurate allocations for monthly financial reporting.
Financial Reporting Support
- Provide accurate budget-to-actual reports for staff.
Qualifications
Qualifications
Minimum Qualifications
- A., B.A., or equivalent experience in Accounting, Finance, or related field.
- Minimum 3 years of bookkeeping or accounting experience; nonprofit experience preferred.
- Proficiency in QuickBooks Online and Excel.
- Working knowledge of GAAP and standard bookkeeping practices.
- Strong organizational skills and attention to detail.
- Ability to handle confidential information with professionalism.
- Comfort working in a busy, family-focused environment.
Preferred Qualifications
- Experience in nonprofit bookkeeping.
- Experience supporting payroll and benefit administration.
- Knowledge of grant tracking and restricted fund accounting.
Other Duties
As part of the Museum team, all staff occasionally support cross-departmental needs such as events, programs, or mission-aligned community engagement efforts.
Physical Requirements
Work occurs in an indoor/outdoor museum environment and may require standing or walking for extended periods, lifting up to 25 lbs, and navigating active, high-energy public spaces.
